Monitoring invitation responses

Learn how to track how attendees have responded to their meeting invitations and see what each person has been sent

Written by Richard Conway

Introduction

After you send meeting invitations, you can see how each attendee has responded without leaving boardcycle. The Attendance tab shows the status of every invitation, so you can tell at a glance who has accepted, who has declined, and who has not responded yet.

The Invitations column

On the meeting's Attendance tab, the Invitations column shows the current status of each person's invitation. Someone who has been sent more than one invitation for the meeting has a status for each one.

Each person's status is a link. Click it to open that person's invitation panel, which shows the invitations they were last sent and a History of every invitation boardcycle has sent or cancelled for them, with the date each one went out. You can also resend or cancel their invitations from the panel. See Updating and cancelling invitations.

What each status means

Status

What it means

Not yet invited

You have not sent this person an invitation for this part of the meeting.

No response

The invitation has been sent and the person has not yet accepted, declined or responded tentatively.

Accepted

The person accepted the invitation.

Tentative

The person responded tentatively.

Declined

The person declined the invitation.

Needs update

The meeting has changed since this person was invited and you have not sent an update yet. Their earlier response still shows underneath. Send an update to bring their calendar into line (see Updating and cancelling invitations).

Invitation withdrawn

The invitation was cancelled, for example because this person's invitation was cancelled on its own, all invitations for the meeting were cancelled, or the person's attendance was removed.
