Introduction
As people come and go from your company, you will occasionally want to archive or delete them. Archiving and deleting are different but related actions:
archiving a person removes that person from the company but retains their profile so that historical data remains intact, and can be reversed
deleting a person removes their profile from boardcycle entirely, and cannot be reversed.
Archiving people
How to archive a person
To archive a person:
navigate to the People tab of the relevant company
click the edit icon next to the relevant person's name
in the Archive Person section, click "I understand" and then click the Archive button
Once you archive a person:
that person's access to the relevant company in boardcycle will be revoked
that person will be removed from any forums they are members of
that person will be removed as an attendee from any upcoming meetings
that person will be removed as an owner of any open actions
that person will no longer appear in people-based searches (e.g. when adding a forum member or meeting attendee)
that person will be moved to the Archived People table at the bottom of the People tab.
Worth knowing: Archiving not available for 'empty' people
To keep your data clean, people who have no historical record in your company and who are not members of any forums, attendees of any meetings or owners of any actions cannot be archive - they can only be deleted.
How to unarchive a person
To unarchive a person:
navigate to the People tab of the relevant company
scroll down to the Archived People table at the bottom of the page and click the edit icon next to the relevant person
select Unarchive Person
Once a person is unarchived, they return to the active people list at the top of the People tab.
Deleting people
To delete a person:
navigate to the People tab of the relevant company
click the edit icon next to the relevant person
click "I understand" and then click the Delete button
Worth knowing: Deletion only available for active people with no records
Because deletion deletes a person's profile entirely, this action is only available for active (unarchived) people who have no current roles (e.g. forum memberships, meeting attendance, open actions) and no historical records.
