Introduction
People are a central concept to boardcycle - everything in board and committee processes is done by a person after all! Examples of things you will want to do with people include:
adding people as members of your forums
adding people (whether they are members or not) as a participant to a meeting
adding people (whether they are members or not) as a participant to an item at a meeting
adding people who you then make users (e.g. members of the company secretarial team).
Before you do those things, people need to exist in a company. Read on to learn how!
Worth knowing: people vs users
You can add a person to a company in boardcycle without making them a user - but to make someone a user, you must add them as a person. Users in boardcycle are simply people who you choose to give access to boardcycle.
Adding a new person
There are two ways you can add a person to a company:
via the People tab; or
when you are adding a person to a forum, meeting or item.
Adding a person via the People Tab
In boardcycle, people are added to companies. To add a person via the People tab:
if you have more than one company, select the company where you want to add that person
select the People tab
click + Add Person
fill in the person's first name(s), last name(s) and title
if you would like to give the person access to the company in boardcycle, fill in their email address and select "Secretariat Team" in the Boardcycle access dropdown
optionally, you can also add a salutation and/or postnominals
click Save
Adding a person when adding them to a forum, meeting, item or action
It is only possible to add someone to a forum, meeting, item or action if they've been added to your company first - but sometimes you will only realise that someone hasn't been added to your company when you're trying to do one of these tasks.
For that reason, you can also add a person during the process of adding someone to a forum, meeting or item as follows:
click the Add Person icon
fill in the person's first name(s), last name(s) and title
if you would like to give the person access to the company in boardcycle, fill in their email address and select "Secretariat Team" in the Boardcycle access dropdown
optionally, you can also add a salutation and/or postnominals
click Save
you will then see a confirmation that the new person has been added to your company - after closing that page you will be returned to the original place you were trying to add that person and will now be able to add them.
Work knowing: title
A person's title in boardcycle should be their job title (e.g. Chief Executive Officer) not their salutation.
Work knowing: salutations and postnominals
If you add salutations or postnominals to a person's profile in boardcycle, these will be used wherever they are referenced - including in exported documents such as shell minutes. Accordingly, if you do not want these elements to be used in those documents you should leave these fields blank.
Giving and revoking a person's access
