Learn how to publish meetings into the personal portal for attendees to view

Introduction

Whenever you are ready to do so, you can publish a meeting into the personal portal. Attendees who you have given personal portal access will then be able to see information about the meeting, including details of agenda items they are attending.

How to publish a meeting

To publish a meeting into the personal portal:

  1. open the meeting

  2. select the Draft dropdown

  3. choose Publish to Portal

Once a meeting has been published to the portal:

  • it will be shown as Live within the meeting

  • it will no longer be shown as Draft on the meetings page

Worth knowing: Live meetings are live

When a meeting is live in the personal portal, any changes you make to that meeting in the Secretariat portal will be immediately reflected in the personal portal immediately.

How to unpublish a meeting

To unpublish a meeting from the personal portal:

  1. open the meeting

  2. select the Live dropdown

  3. choose Set as Draft

What details about a meeting can personal portal users see?

boardcycle manages access and visibility of meetings and agenda items within meetings based on meeting attendance. This means that:

  1. personal portal users can only see a meeting in their portal if they are attending at least one agenda item of that meeting; and

  2. personal portal users can only see details about an agenda item if they are attending that agenda item.

If a person portal user is attending some items of a meeting and not others, the items they are not attending will be redacted as shown below:
