With boardcycle Agendas you have the choice to adopt boardcycle's standard agenda template, or automate your organisation's own template. This article only applies where you have chosen to adopt boardcycle's standard template

Agenda heading

All exported agendas are headed with the word Agendas to make sure the purpose of the document is immediately obvious to any reader.

Company name

Your company name is prominently displayed in the header.

Forum name

The name of the forum of the meeting is prominently displayed as the first item below the header, so readers can easily understand which forum the meeting is for.

Logo

Logo

Your organisation's logo is displayed in the top right hand corner of the agenda to give a quick visual indication of the organisation involved. The boardcycle team will work with you to determine the best logo to use during your onboarding.

Meeting Details

Meeting date

Meeting date is shown in the following format: Day, DD Month YYYY

Meeting time

The start time of the meeting is displayed in 12 hour format

Meeting location

The meeting location is displayed as you have configured it. This is a free text field and can include whatever information you wish, including virtual attendance details such as "via Teams/Zoom" etc.

Members

Members

Each board/committee member attending is noted with the Chair shown first. For each member, their name and title are shown and then they are noted as attending "All items" in the attendance notes column.

Attendees

Standing Attendees

Standing attendees are shown in a separate section to members. For each standing attendee, their name and title are shown and then they are noted as attending "All items" in the attendance notes column.

Attendees

Item participants (i.e. presenters and attendees) are shown in a separate section called "Attendees" and are shown in the order they will join the meeting. For each item participant, their name and title are shown and then each item they are attending is listed in the attendance notes column.

Apologies

Apologies

Members and standing attendees who cannot attend the meeting are noted in the Apologies section. The name and title of each apology is shown.

Agenda

Scheduled duration

The scheduled duration of your meeting is automatically calculated and included at the top of the agenda section for quick reference.

Numbering

We use a simple indented numbering style that matches common board portals:

  • 1

    • 1.1

      • 1.1.1

        • etc

Although boardcycle does not prevent you from creating any level of depth in your agenda, we strongly recommend using not intending more than 4 levels.

On exported agendas, any sections/items indented beyond the 4th level will be shown at the 4th level of indentation as there is not sufficient space on a portrait document to continue indenting further.

Sections

Sections are generally used as heading items on an exported agenda and have different information depending on their level of indentation:

  • unindented (L1) sections show the section name and the duration of all items within that section and all of its sub-sections

  • sub-sections (L2) show the section name only

  • sub-sub-sections (L3) show the section name and the specific timing of all items within it

Items

Items are the most detailed aspect of the agenda section and include the following information:

  • item name

  • if the item has no paper, it will be tagged as "[Verbal]" just after the item name

  • the action (Approval, Noting, Discussion or Recommendation)

  • the names of each presenter

    • Note: item attendees are not listed in the agenda section - they are however listed in the attendees table at the top of the agenda

  • the specific timing of the item

    • Exception 1: if the start time of the meeting has not been specified, the specific timing of items cannot be calculated, so the item duration is shown instead

    • Exception 2: specific timings of items at the 4th level of indentation and below are not shown - instead, consolidated timings for all such items are shown at the L3 section instead

Breaks

The name and specific timing of breaks are shown except where the start time of the meeting has not been specified, in which case the duration is shown.

Meeting end time

The end time of your meeting is automatically calculated and set out as follows: Meeting close at hh:mm am/pm
