Managing actions on agendas

Learn how to manage actions that are due in a meeting on that meeting's agenda

Introduction

A critical aspect of managing actions (matters arising) is reporting back to the relevant board/committee in a future meeting. boardcycle streamlines this process by automatically including actions designated as being due at a future meeting on the agenda canvas for that meeting, and then letting you rearrange what actions will be address in what items through its simple drag-and-drop interface.

Specifying an action as due at a meeting

You can specify an action is due at a future meeting:

  • when you first add the action, as explained in this article; or

  • by editing the action at any time, as explained in this article.

How actions appear in a meeting

Once you specify that an action is due at a meeting, that action will automatically be added into the special Action Items item for that meeting. For more information on this special item, see this article.

Actions appear on the agenda canvas immediately below the item they are allocated to, as shown below:

Changing the item an action is allocated to

Although actions are initially added to the special Action Items item, you can change the item that an action is allocated to by dragging and dropping the action from that item to any other item in the meeting.

Worth knowing: boardcycle automatically tracks action allocations

If you move an action from one item to another in a meeting, boardcycle will track this an automatically update its actions tables accordingly.

Similarly, if you make changes to the meeting which change the numbering of an item an action is allocated to, this will be automatically reflected in the actions tables.

Managing actions from within a meeting

In addition to being able to drag and drop an action between items within a meeting you can also:

  • change the status of an action;

  • add a status note; and

  • edit an action.

To do any of these things, click the edit icon next to the action and then follow the instructions in this article.

Deleting an item with actions allocated to it

If you delete an item that has actions allocated to it, then boardcycle will remove those actions from the meeting entirely and assign them a "TBD" due date. If you want any such actions to remain due at that meeting, you should move them to other items before deleting that item.
