Breaks

Learn how to use and configure break blocks in agendas

Written by Richard Conway

Introduction

A break is a block of time on your agenda where the meeting will adjourn / stop / pause or undertake an activity that is not formally part of the meeting. Examples might include:

  • lunch breaks

  • education sessions

  • attending an event

  • site tours

  • travel time

Worth knowing: Breaks presented as adjournments in exported shell minutes

Where your agenda includes a break, the shell minutes will include a notation that the meeting adjourned at the start time of the break and resumed at the end time of the break.

Worth knowing: Breaks can divide an attendee's invitations into multiple sessions

Where a break falls affects the calendar invitations attendees receive. Someone attending the whole meeting, or attending the vast majority of it and present either side of a break, receives a single invitation covering their whole time at the meeting. Otherwise a break divides their attendance into sessions, and they receive a separate invitation for each session they are attending. See Sending meeting invitations.

Key information about breaks

Breaks:

  • can be indented inside a section

  • cannot have any agenda block indented inside them

  • have a name and a duration and may include details - but do not have any action, paper or participants associated with them

  • will always be shown as a standalone item on your exported agenda, irrespective of whether they are indented inside a section or not

Adding a break to an agenda

Adding a break to an agenda is as simple as dragging a break block from the right hand side of the agenda canvas and dropping it onto the agenda canvas where you want it. For more information on agenda building, see Building agendas.
