Introduction
By default, the emails and calendar invitations boardcycle sends are designed to include enough information for the recipient to act on them without having to log in to boardcycle first. However if you prefer them to include only limited information, and require the recipient to log in to see further details, you can control that in company settings.
One setting controls two different things. Action owners are sent an email notification listing the actions assigned to them, from the Actions Raised tab of a meeting. Meeting attendees are sent a calendar invitation for the meeting, from the meeting's Attendance tab. They are separate features, sent separately and at different times - all they share is this setting.
What excluding data changes
Excluding data changes how much each message says, not whether it is sent:
An action owner's email notification leaves out the action detail and asks the owner to log in to boardcycle to see it. See Notifying action owners of their actions.
A meeting attendee's calendar invitation still shows the date, time, location and video conference link, so the attendee's calendar stays correct. In place of the itemised agenda and action detail it carries a short summary of how many items they are presenting and how many actions they have due. See Sending meeting invitations.
Excluding data from email notifications
To exclude contextual data from the email notifications and meeting invitations boardcycle sends:
from your company homepage, navigate to the Company Settings tab
select the Exclude data from email notifications checkbox
click Save
