How to use the Diligent Bookbuilder

Learn how to use boardcycle's Diligent Bookbuilder to build a book structure in Diligent in 30 seconds

Introduction

If your organisation uses Diligent as its board portal, boardcycle's Diligent Bookbuilder allows you to build a book structure in Diligent that replicates the agenda you have built in Diligent almost instantly. Read below to learn how!

Building a book structure using the Diligent Bookbuilder

To build a book structure for a meeting using the Diligent Bookbuilder, take the following steps:

  1. in boardcycle:

    1. open the meeting you want to build the book for;

    2. click the Export button on the top right hand side of the page

    3. click on Diligent Bookbuilder

    1. this will cause the Diligent Bookbuilder file to download to your computer as a PDF. You do not need to open the PDF but if you do, you will see that it contains instructions on how to use the file - as set out in this article.

  2. in Diligent:

    1. create a new book. Once you have created the book, you will be shown a page titled Build your book

    2. drag and drop the Diligent Bookbuilder file into the drop area on the page. This will cause a pop-up to appear headed Import bookmarked PDF

    3. turn the Use numbered tabs toggle on and you will see tab numbers appear against each item listed in the preview

    4. click Import PDF

    5. Diligent will then import your book structure - this typically takes 5-10 seconds, depending on the length of your agenda

    6. boardcycle automatically includes the agenda as the first tab in your Diligent book - however this will be numbered Tab 1 at this point. To ensure the tab numbering in Diligent matches the numbering used in your agenda, you should set the Agenda tab as a non-numbered tab as follows:

      1. in the Agenda tab, click the Tab dropdown and select Tab properties

      2. turn the Non-numbered tab toggle on

      3. click Update

    7. finally, because this process in Diligent imports the Diligent Bookbuilder file itself, boardcycle places this inside a tab at the very end of your book called DELETE THIS TAB. To delete this, click Tab, select Delete Tab and then click OK in the warning pop-up that appears.

Once you have completed these steps, you can begin uploading papers into the relevant tabs of your book in accordance with your normal process.
